Fax Archive Window: Account Code

The Account Code field appears on the Fax Archive window in the Fax Everywhere Web Interface.

Fax Everywhere can group your faxes together by an account code. You may want to use an account code if you plan to accumulate and track charges for your company's internal use or for re-billing your customers. Fax Everywhere uses the account code to sub-total the fax charges for each user on the invoice you generate.

Adding or editing an account code in this field is equivalent to:

  • adding or editing the Account Code field on the Fax Archive window.

  • adding or editing the Default Account Code field on the User Setup window.

  • adding or editing the Acct. Code field on the Fax History tab in the Fax Everywhere Control Panel.

Note: you can also use the Billing Acct. # drop-down list on the Addressing tab in the Fax Everywhere Fax Client program to add an account code to a fax you are sending.

You can view the faxes in each account code by clicking on the account code hyperlink in the Billing Account Code field on the Billing Summary window.

Here is how it works:

  • Fax Everywhere uses the value in the Default Account Code field on the User Setup window as your account code. If the Default Account Code field is blank, the following fields are also blank:

    ¨ the Acct. Code field on the Fax History tab

    ¨ the Account Code field on the Fax Archive window

If you do not have an account code, Fax Everywhere groups all of your faxes into an N/A account code that appears in the Billing Account Code column on the Billing Summary window.

  • If you add an account code in the Default Account Code field, Fax Everywhere will assign that account code to each fax you send or receive. For example, if your account code is 1234, the following fields will display 1234 next to the faxes your send or receive:

    ¨ the Acct. Code field on the Fax History tab

    ¨ the Account Code field on the Fax Archive window

In addition, the Billing Account Code column will display an entry for the 1234 account code.

  • If you want to add or change an account code on a fax you previously sent or received, you can edit one of the following fields:

    ¨ the Acct. Code field on the Fax History tab

    ¨ the Account Code field on the Fax Archive window

If you add or edit an account code, Fax Everywhere will update the Billing Account Code column, the Acct. Code field, and the Account Code field with the new account code. However, any changes you make to the above fields does not affect the value of the Default Account Code field on the User Setup window. This means if you add or edit an account code on a fax your previously sent or received, and you did not change your Default Account Code, Fax Everywhere will continue to use the Default Account Code on future faxes you send or receive.

You can create more than one account code for each user.

If you add or edit the Account Code field, you need to click the Save Changes button before your changes take effect.

You can click the column heading to toggle the sort order between ascending or descending.
