Inbound Fax Delivery Options Group: Archive Faxes on Server

The Archive Faxes on Server check box appears on the Inbound Fax Delivery Options group on the User Setup window in the Fax Everywhere Web Interface.

If you check the Archive Faxes on Server check box, Fax Everywhere will keep a copy of the fax(es) you receive.

Fax Everywhere archives your faxes in:

  • the ARCHIVE directory in the Fax Everywhere executable directory.

  • the Fax History tab in the Fax Everywhere Control Panel.

  • the Fax Archive window in the Fax Everywhere Web Interface.

When Fax Everywhere stores your faxes, it keeps the same base name of the file it originally e-mailed to you. For example, if you receive a fax with this base file name: FAX-2001-1029-1540, the base file name in the archive directory is: FAX-2001-1029-1540. The files in the ARCHIVE directory have a .FAX extension. You can view .FAX files in the Viewing Fax window from the Fax History tab in the Fax Everywhere Control Panel. In addition, you can view the faxes you archive in the Fax Archive window in the Fax Everywhere Web Interface.

Note: the Archive Faxes on Server check box on the User Setup window does not affect the faxes you send via the Send Fax window in the Fax Everywhere Web Interface or the Fax Everywhere Fax Client program. The Archive Faxes on Server check box on the User Setup window only affects the faxes you receive. For information on archiving the faxes you send, see: the Archive check box on the Send Fax window in the Fax Everywhere Web Interface.

By default, Fax Everywhere purges the files in the ARCHIVE directory after three months. If you would like to change the number of months Fax Everywhere waits to purge files, you can change the value in the Archive Faxes spin control on the Server Setup | Server Settings tab.

If you do not want Fax Everywhere to purge faxes from the ARCHIVE directory, you can check the Keep check box on the Fax Archive window on the Fax Everywhere Web Interface.

If you are concerned about the security of your faxes, you may want to uncheck the Archive Faxes on Server check box. If you uncheck the Archive Faxes on Server check box, Fax Everywhere will not store the faxes you receive in the following:

  • the ARCHIVE directory in the Fax Everywhere executable directory.

  • the Fax History tab in the Fax Everywhere Control Panel.

  • the Fax Archive window in the Fax Everywhere Web Interface.

If you uncheck the Archive Faxes on Server check box, The only copy of the fax is in your e-mail program. In addition, you may want to enter a PDF Encryption Password to protect the PDF files Fax Everywhere may e-mail to you.

Note: If you uncheck the Archive Faxes on Server check box, you can only select the Include Page 1 Image and Send PDF File check boxes.

You can also check the Archive check box on the User Setup tab in the Fax Everywhere Control Panel to archive the faxes you receive.
