How to Print Labels from PC Access

Introduction

Most Maestro and Compass MLS systems have an option to print mailing labels. Most MLS systems use Avery 5160 labels or equivalent.

Before you can print labels you need to set up a label printer alias in PC Access. Use the instructions that follow to Set up a Label Printer in PC Access.


Setting up a Label Printer in PC Access

  1. From the PC Access Main Menu, click Setup Menu | Advanced | Printers.
  2. Make a note of your Default Printer. Click Add.
  3. On the Add Printer window complete the following information:
    • Name: Labels
    • Click the arrow next to Printer:, and select your Default Printer from the drop-down list.
    Click OK.
  4. Log in to your MLS. Run a report that allows you to print labels.
  5. Before you print the labels, click the Select button from the Toolbar.
  6. From the List of Printers, select the "Labels" printer you created in step 3. Click OK.
    • Note: Since this is the first time you will print labels from PC Access, MFM suggests that you print the labels on plain paper rather than a label sheet. If your labels do not print correctly and you need make any adjustments in your printer settings you will not waste a sheet of labels.
  7. From your MLS system, select an option to print labels.
  8. Check the alignment of the labels you printed on plain paper with a sheet of labels.

Aligning Labels in PC Access

If you followed the instructions to Set up a Label Printer in PC Access and your labels did not line up properly, you need to make a few adjustments in the Edit Printer window for your "Labels" printer.
  1. From the PC Access Main Menu, click Setup Menu | Advanced | Printers.
  2. Select the "Labels" printer, click Edit.
  3. Measure the distance between the top of the labels you printed on plain paper and the actual label sheet.
    • For example: If the labels printed at the top of the plain paper sheet, and the first row of labels on your label sheet begins 1/2 an inch from the top, you need to adjust your "Labels" printer setup 1/2 an inch.
  4. On the Edit Printer window, in the Print Offsets group, change Inches from the Top from 0.00 to 0.50 for 1/2 an inch.
    • Note: Calculate your measurement into decimal form. For example, 1/4 inch is .25, 1/2 inch is .50, etc.
  5. Click OK.
  6. Log in to your MLS. Run a report that allows you to print labels.
  7. Before you print the labels, click the Select button from the Toolbar.
  8. From the List of Printers, select the "Labels" printer. Click OK.
  9. Print your labels on plain paper.
  10. Check the alignment of the labels you printed on plain paper with a sheet of labels.

Printing Labels from PC Access

Each time you want to print labels from PC Access you need to select your "Labels" printer.
  1. To print labels, log in to your MLS and run a report that allows you to print labels.
  2. Before you print the labels, click the Select button from the Toolbar.
  3. From the List of Printers, select the "Labels" printer. Click OK.
  4. Insert an Avery 5160 (or equivalent) into your printer. Print labels.
If you want to continue printing labels, you can continue using the "Labels" printer. If you want to print listings or another type of report from your MLS, click the Select button and choose your Default Printer.

The next time you log into your MLS, PC Access will send all of the print jobs to your Default Printer, unless you specify another printer using the Select button.
